Privacy Policy introduction
This privacy policy sets out how Matthew Radley & Associates Limited, trading as MRA Executive Coaching, (company registration number 7608964) uses and protects any information that you provide when using our website or contracting with us to provide coaching services. As a business we are committed to ensuring the privacy of the people who engage with us, and therefore any information we ask you to share with us will be strictly dealt with in line with this Privacy Policy and UK Data Protection requirements.
Matthew Radley & Associates Limited is also registered with the Information Commissioner’s Office (ICO) under reference ZA214422.
Collecting data and information
As you engage with us, and we engage with you, we need to collect certain information to help us work effectively together and to deliver our services in accordance with our coaching programmes. We collect information in a variety of ways including through our website, emails, phone calls, verbally or LinkedIn requests.
The types of information we initially collect may include the following:
- name
- organisation
- job title
- email address
- phone number
- our services that are of interest to you
As we progress in our professional relationship, we go on to request further information to enable a smooth and professional client relationship. This includes information to support when engaging people within your organisation (such as names, email addresses, job titles, phone numbers), as well as contact information for the Finance Department to arrange Vendor Numbers, Purchase Order Numbers, etc.
When sharing information with us on behalf of people from within your organisation, it is your responsibility to ensure that you have complied with data regulations before doing so. We accept no liability for making contact with people inside your organisation that you have requested us to.
When working with individuals or teams we will go on to request further information to support with the delivery of our coaching programmes. This includes information such as your personal and professional goals/ambitions; team goals; business goals; strategic ambitions.
When working with individuals it is likely that sensitive and confidential information will be shared with your Coach. We commit to holding this information with the strictest of confidence and our ‘Coaching Contract’, which we will counter-sign with you, lays out our agreement clearly. If you have not been asked to sign a ‘Coaching Contract’ with us please contact your Coach for further information requesting the opportunity to do so immediately.
At the end of a Coaching Programme we might ask for a quote from you to be used alongside your name, title and company for our website or other promotional material. Please let us know if you do not wish your quote to be used.
Collecting data for use with Psychometric Assessment tools
Also, when using Psychometric Assessment tools such as MBTI, Hogan, EQi-360, etc within our Coaching Programmes we require specific information to enable you and others to complete the assessments. This includes your name and email address. EQi-360 also requires contact detail for the people you would like feedback from, including their names, email addresses and relationship to you. Copies of Privacy Policies are available directly from each psychometric provider.
The results of any Psychometric Assessment you complete through us will always remain your property and we will never share your responses/results with anyone else outside of our organisation without your permission to do so. We may on occasion share them internally between ourselves when co-designing or co-delivering Coaching Programmes.
Cookie policy
Cookies are used to help us compile anonymous statistics (including Google Analytics) in order to improve and manage our site. An example of the information collected would be the path you used to gain access to the site and your patterns of browsing when navigating the site. They are ‘persistent’ meaning they are not deleted when the browser is closed and expire after a period of 2 years unless you visit the same site within the 2 year period in which case the same cookie is refreshed and a new 2 year period begins.
The information these cookies collect is not used to identify who you are, send you targeted advertising or remember where you’ve been on the internet.

What we do with the information we collect
We only use the information we collect to aid us in providing high quality and professional coaching experiences for our clients.
The types of activities that we might use your information for include:
- responding to a website request through the ‘Contact us’ page
- your address to send you a Coaching Journal or related training materials
- your phone number to call you for a Chemistry Conversation or to maintain communication with you via text, Whatsapp, phone calling
- your email address to send you information supporting your Coaching Programme such as confirming venues, dates, times, pre-reading, reflection questions
- your email address to request feedback on our Coaches and our Coaching Programmes
- as our clients are often based in locations around the world, your information may be transmitted internationally within our organisation
Sharing information with our Associate Coaches
At Matthew Radley & Associates Limited we have employees and Associate Coaches who deliver our Coaching Programmes. Employees and Associate Coaches are provided with contact details of prospective clients to enable them to make contact directly.
Employees and Associate Coaches are individually responsible for complying with this Privacy Policy and for maintaining appropriate standards in how the collect, use and store data/information in line with GDPR.
What we commit to NOT doing with the information we collect
We are very clear that we commit to never using the information to:
- sell or share information to third parties for business development or market research or other purposes, unless ordered to do so by a court of law
How we keep your information safe and secure
We work hard to ensure we keep the information that you share with us safe and secure. We have put the following practices into place to ensure your information is safeguarded (this applies to all Matthew Radley & Associate employees and Associate Coaches):
- all laptops where information is stored have anti-virus software installed and maintained annually
- all laptops are password protected on opening
- all external hard-drive back up systems are stored in locked cabinets or locations and are destroyed after 6 years or earlier if requested by you
- all paper files are stored in locked cabinets or locations and are destroyed after 6 years or earlier if requested by you
- our website does not hold any information you share with us through the ‘Talk to us’ page once the information you enter has been emailed to us, therefore your information is safe. The website is also controlled with password protection for access to the control panel
- our employees and associates are responsible for regularly changing their passwords on their email accounts. Please note that however hard we try to secure our email traffic there are always associated risks with this type of communication. Therefore please take appropriate care in opening emails pertaining to be from Matthew Radley & Associates, or any files/attachments included
- any requests you make to us to obtain copies of the information we hold about you will be shared immediately with the Managing Director of Matthew Radley & Associates to ensure full and comprehensive responses are made
In case of a data breach
In the unfortunate case of a data breach we will make contact with you and your organisation to make you aware of the situation. We will look to rectify the situation as quickly as possible, and also direct you to the Information Commissioner’s Office for further details or to make a complaint.
Keeping control of the information you share with us
Your information is your information. Full stop. Therefore if at any time you wish to access the information we may hold about you please contact us immediately and we will respond to your request within 30 days. Our contact details can be found on the ‘Making contact with us’ page of this Privacy Policy or you can contact your Coach directly.
In summary your rights are:
- to request that any errors in the information you have shared with us are corrected
- to request that your information is disposed of appropriately at the end of our contract with you, or earlier if you make the request for us to do so
- to request copies of the information we hold about you
- to request copies of the information we hold about you be shared with other organisations as instructed by yourself e.g. results of Psychometric Assessments
If you find our response inadequate you have the right to contact the Information Commissioner’s Office (ICO).
Updates to our Privacy Policy
We reserve the right to update or modify this Privacy Policy as required. Please ensure you remain happy with, and accept agreement of, this Privacy Policy by regularly checking for any amends we make.
